How to turn on SMS messages?

To set up your SMS notifications:

  • In your Tablein account, click the settings icon on the top right-hand corner
  • In the left sidebar menu, navigate to SMS notifications
  •  Turn ON “enable SMS messages”
  • Select which SMS you would like to send to your customers
  • Add your restaurant name as the sender
  • Select if you want to get SMS notifications about new reservations and/or cancelled reservations and add your phone number (only one available)
  • Click Save

SMS message pricing

SMS messages is an optional service from TableIn. The price will depend on your country and our preferred operator. For further information please refer to our Pricing list here.

Please note:

Each SMS message has character limitations that depend on the language being sent (typically between 70 and 140 characters per SMS).

Languages using the Roman alphabet such as English or Spanish can use the character limit 140. Other languages that use characters such as Hindi, Arabic, Chinese, Korean and Japanese, or Cyrillic languages such as Russian, Ukrainian, Serbian and Bulgarian are limited to 70 characters.

Symbols such as $, ó, à are counted as 2-3 characters. E.g. the word Confirmación contains 14 characters not 12.

If any SMS text exceeds the maximum characters allowance (including spaces), it will be split into multiple messages when it reaches the recipient.

For example: If your SMS contains 141 characters, the cost of that SMS will be double, as it needs to be sent as two separate messages.

SMS sender name

Set your company name or brand as the Sender ID when sending one-way SMS messages. Sender IDs may be up to 11 characters. Do not use special Characters (e.g. @&$*)

SMS for clients – types and sending time

Please choose which SMS you would like to send to your customers

  • Confirmation SMS – sent immediately if automatic confirmation is selected
  • Reminder SMS – this text message is sent one day before the customer’s visit at 12:00 (12 p.m.) o’clock (If the reservation was made three or more days before the reservation date)
  • Feedback SMS – a message is sent out the day after the reservation if the reservation status has been changed to arrived
  • No-show SMS – a message is sent as soon as the reservation status is changed to no-show and saved
  • Table’s ready SMS – sent instantly when the checkbox “table ready” is selected and saved

Staff notifications

If you would like to receive SMS messages about new bookings and/or cancellations, check the relevant box (or both) to receive notifications when:

  • A new reservation is received
  • A reservation is cancelled

Add the mobile number you want the notifications sent to. Only one phone number per Tablein account is possible. These messages cannot be edited and are sent in English only. These messages are also charged.

How to edit SMS notifications

All text messages sent to customers can be adjusted.

  • Open SMS notifications. At the bottom of the page, you’ll find editable message templates (six in total) which you can edit.
  • Please select the language which you prefer to edit.
  • All messages are generated and sent automatically. If there is variable information such as date, time, reservation number, you will see the codes. The full code list is below.
  • Edit the text
  • Save

You can replace codes such as restaurant name or phone number with text information.

!Please be careful with the codes as changing them will not render the text correctly.


On the right side, please find default messages for the six available SMS notifications:
#1 – Confirmation SMS
#2 – Reminder SMS
#3 – Feedback SMS
#4 – No-show SMS
#5 – Pending SMS (manual guest confirmation)
#6 – Table’s ready SMS

How to re-send confirmation SMS message?

  • Open New Calendar
  • Open a reservation
  • Select “Re-send” checkbox (change notification language if necessary)
  • Click Save (the SMS will be sent immediately)


Note! If you need to change the number of guests or booking time, please save your changes, then reopen the reservation and re-send the SMS message.

How to send a “Table ready” SMS?

  • Open New Calendar
  • Open a reservation
  • Select the “Table ready” checkbox (change notification language if necessary)
  • Click Save (the SMS will be sent immediately)

 

Note: This option only works in the “New Calendar” version

How to create a waiting list and use Table’s ready SMS?

When a guest comes to your (fully booked) restaurant and you can see that a table will become available in 10-15 minutes, you can take the client’s details, ask them to go for a walk or have a drink in the bar, and send them an SMS when the table is ready.

Create a waiting list (optional):

  • Open table management and create a new dining area “Waiting list”
  • Turn off the “Online reservations” option
  • Create a few tables to be used for your waiting list and click Save

 

Create a “Pending” reservation:

  • When a guest without a reservation comes in, open the new calendar and click to create a new reservation
  • Select reservataion status “Pending”. When a reservation is on pending status, no additional notifications will be sent
    Add the number of guests, a time (even just 15 minutes), and select a table (if all tables are full, then you can select a table in your “Waiting list” dining area)
  • It is important to add the customer’s name and phone number for the SMS
  • Save the reservation

When the table becomes available:

  • Click on the reservation and assign their new table (if applicable)
  • Select “Table ready” checkbox and save
  • When the guest arrives, change their reservation status to “Arrived”

 

Note! This option works only on “New Calendar” version.

How to edit your “Table ready” SMS message

  • Open SMS Notifications
  • Scroll to the bottom of the notifications page
  • This SMS message will be listed at the bottom of all notifications
  • By default, the SMS will be sent in English, but you can select another language and edit the notification as you please
  • Click Save

 

The default SMS notification text is:

Hi there! Thanks for waiting! We wanted to let you know that your table is ready. We will hold it for 10 minutes. Please come to the host stand to have your party seated.

If you want to add a cancellation link to the SMS, please copy and paste the following code [node:reservation-cancel-link]

For example:
