How to add a new reservation with a drag function

  • Select a day
  • Drag to the right (only on Calendar style) and down (to select more tables)
  • Select the table(s) you wish to book, select a time, then click and drag to the right and (optional) down to set the duration of the booking. If you need more tables, you can drag down or select them in the reservation window.
  • Follow the prompts and enter the information required. 

Also it works with double click on the table, you just need to set booking length.

For group booking, you can drag down add more tables or in your reservation pop-up.

How to add a new reservation with a button

  • Select a day
  • Click on the + button (found at the top of the page, ear the dates).
  • Reservation pop-up will appear. Fill following information
  • Select the Number of Guests 
    If the reservation is for more than 8 people, add a number to a field (no limits)
  • Select Start & End Times from the dropdown menus. 
  • Select Table(s)
  • Add the guest’s information and check details of the reservation are correct.
  • Click Save (don’t forget!)

Buttons explained

From left to right

  1. Home – Back to today
  2. Calendar – click to expand calendar
  3. Date select – Select a day, click back, forward to change the dates
  4. + – add a new reservation (do not forget to select a day first)
  5. Refresh – refresh the page to reload latest reservations
  6. Clock – block online times (coming soon)
  7. Expand – expand to see full day view, or retract to see a few upcoming hours. 
  8. Notification – message for staff. Coming soon.
  9. Search – search for reservation
  10. Sidebar – show reservation sidebar

Reservation window explained

  1. Statuses – change status here to walk-in, blocked tables or others
  2. Number of guests. If more than 8 guests, add a number manually to a field
  3. Time – the date is selected automatically. If you need to change the time, select start or end time from a dropdown.
  4. Tables – click to select tables. Occupied tables are inactive.
  5. Promotions & payments – select an offer from a list. To add an offer, create them in Offers. If reservation is paid, you will see the paid amount.
  6. Reservation timeline: reservation number, reserved date, edited date, payment date
  7. Reservation tags – tags are specific to a particular visit. They are applied to a specific visit only and do not appear in a guest’s future bookings. Add tag and click Enter (keyboard) to confirm Tag.
  8. Reservation comment – if you need to add more details about a reservation
  9. VIP – this special tag is saved to guest history (identified by phone number). It helps instantly to see important guests.
  10. Search field – search for a guest by phone number, name or company name. To add the client click on “New guest” and fill the remaining details.
  11. Phone number – guest mobile phone number and ID. Do not use the same phone numbers for different reservations. You can turn off “required phone number” and add a reservation without a number.
  12. Name – guest name and surname
  13. Email – email address
  14. Company name – add company name, it will help for a search or identify clients. Saved by phone number.
  15. Guest notes  – text information about the guest,  notes are saved in the guest profile, remaining attached to that guest across all future bookings.
  16. Booking history: total reservations, cancelled, no shows, last visit, average feedback rating
  17. Cancel reservation – Click here if you need to cancel a reservation. You will be asked to re-confirm this action. 
  18. Select what confirmation do you want to send. Please note, if SMS notifications are off, even it is selected here, guest won’t get SMS notification. If reservation was changed, you can resend confirmation details, check which notification and click re-send. 
  19. Language – select notification language
  20. Waiters – select a name from the dropdown list to know who added notification (Staff accounts)

Reservation statuses

  •  Confirmed – Booking has been confirmed. (Blue colour)
  • Arrived – Booking status changes automatically when reservation begins (Green colour). If you want to change this status manually only then guest arrives, turn off “Auto-arrival” status in your settings.
  • Pending – Booking is waiting for confirmation. (Yellow colour). System use this status also for payments. Until reservation is not paid, it remains with pending status.
  • Walk in – guest without reservation. 
  • No Show – if a guest fails to arrive, please mark the booking as a No Show. All no shows are indicated in your guest history, allowing your greater control over the bookings you choose to accept or decline. (Red Colour)
  • Block tables – if you don’t want to accept bookings for preferred table and time, you can block tables. (Red colour).
  • At the bottom of reservation window – Cancel reservation click here to cancel reservation. After cancellation, the booking will simply disappear from your calendar. Your guest will also receive a cancellation email. (Disappears from Calendar)

Walk ins

Walk ins – a guest without reservation. You can add these guests for the statistic. This reservation doesn’t require to add guest name or phone number, only number of guests.

How to add a walk-in reservation directly on calendar?

  • Select the table you wish to book, select a time, then click and drag (to the right) to set the duration of the booking.
  • Change reservation status to Walk-in and add number of guests, check remaining information. 
  • Save

How to add a walk-in reservation with a button?

  • Click on the + button.
  • Change status to “Walk-in”
  • Select the Number of Guests.
  • Select Start & End Times for the reservation.
  • Select Table(s)
  • Save

How to release a table?

  • Click on walk-in reservation
  • change reservation end time to the nearest time slot.   

Block tables

Blocking a table prevents it from being booked online and by phone.

How to block tables directly on the calendar?

  • Select the table you wish to block, select a time, then click and drag (to the right) to set the duration of the booking and down to select more tables.
  • You can also select more tables on reservation window.
  • Change status to Block tables
  • Save

 

How to block tables with a button?

  • Click on the + button.
  • Change status to “Block tables”
  • Select the Start & End Times you want the table(s) to be blocked.
  • Select available Table(s) then click Confirm.
  • Save

How to download an app?

Tablein system is web based, but you can download an app and find it on your phone/tablet/ computer screen and open with one click.

How to download an app on Computer:

  • Open Chrome browser
  • Open app.tablein.com and log in
  • Open new calendar version
  • Open Chrome settings (3 dots on the right top corner) and select “Install Tablein App”
  • The app will downloaded to your computer
 

How to download an app on Android:

  • Open Chrome browser
  • Open app.tablein.com and log in
  • Open Chrome settings (3 dots on the right top corner) and select “Add to Home screen”
  • Click Add to confirm and download the app.
  • The app will downloaded to your mobile phone/tablet

 

 

How to download an app on IOS:

  • Open Safari browser
  • Open app.tablein.com and log in
  • Open Safari settings (On the centre of the bottom) and select “Add to Home screen”
  • Click Add to confirm and download the app.
  • The app will downloaded to your mobile phone/tablet
 

How to view full calendar on a mobile phone or smaller tablet

In the mobile version, the system displays a list of reservations.

If you want to see the full system view, you need to switch the mobile version to the desktop version.

How to view desktop version of a site on Android or Chrome browser:

  • Visit the site app.tablein.com and log in
  • Then select Menu (three dots on the bottom corner)
  • And select “Request desktop site” from a list. 
 

How to view desktop version of a site on IOS or Safari browser:

 

  • Visit the site app.tablein.com and log in
  • Tap on the “Aa” on the left side of the URL address bar  
  • And select “Request desktop site” from a list.
